From Approved Estimate to Scheduled Window Cleaning: What Happens After the Yes

A signed quote is not a booked job. In a lot of window cleaning companies, the approval starts a second round of work: someone copies the address into a calendar, writes the window count on a route sheet, texts the gate code to the crew and hopes nothing gets lost. Every copy is a chance for a mistake. The fix is to make the approved estimate become the job.

The Gap Between Quote and Schedule

In Online Estimate Approval: Letting Window Cleaning Customers Say Yes Without a Phone Call we got the customer to say yes online. This article follows that yes all the way to the van. In WindowBossPro, the approved estimate becomes scheduled services, so the work you quoted is the work that gets scheduled, line for line.

One-Time Jobs

Spring cleans, move-outs, post-construction cleans and the “we're having a party Saturday” job are one-time services. Once approved, they are ready to put on a specific day and assign to a van. The office picks the day on the Scheduled List, the dispatch board that shows jobs by day and filters by van.

If the customer asked for a specific date, schedule it right away and send a confirmation text. If not, slot it into a day when that van is already working nearby.

Recurring Plans

Recurring work is where the hand-off saves the most time. In WindowBossPro, recurring cleanings are set by minimum days between visits. Common setups for window cleaners:

Once the plan exists, each cleaning comes due on its own. You do not have to remember that the Smiths are due again in March.

The Waiting List

Every cleaning that has come due shows up on the Waiting List, a live map and list. Pins are colored by status: not due yet, due now, and overdue (past a 7-day grace). The office looks at the map, sees clusters of due cleanings, and assigns them to a van and a day.

A newly approved recurring customer shows up here as due now for the first visit. Their next visit comes due after the minimum days pass from the last completed one. That is the rhythm that keeps a window cleaning route full without a calendar full of manual reminders.

Routing the Day

Once jobs are on a day, the Scheduled List shows them by van. The office can auto-route Closest First or Furthest First from the shop, or set the route order by hand. A typical setup is one van on residential jobs and one on a storefront route. A post-construction job that will take most of the day goes on its own, not stacked behind twelve storefronts.

Once the window details are entered on the job, the office can see how big each job is while building the day. “34 windows · 3+ story · Inside & Outside” is a different day than six outside-only ranches.

On the Tech's Phone

The tech opens the app with the company login and a personal PIN and sees the day's jobs in route order. Each card shows the address with a navigation button, the window details (“28 windows · 2-story · Inside & Outside · Screens”) and the access notes: gate code, dog, where to set the ladder, skylights.

Customers get automatic “on the way” and “arrived” texts. The tech taps Start, takes before-and-after photos, and taps Complete. Completing the job creates the invoice from the same lines the customer approved, and the card on file can be charged. Nothing was retyped between the estimate and the invoice.

When the Job Changes

Sometimes the customer adds screens at the door, or the crew finds six more windows than the estimate said. The tech adds a note and the office updates the job and the window count, so the invoice is right and the next visit starts from the correct number. If the change is permanent, update the recurring service so future visits are priced correctly.

Turning a one-time job into a recurring plan later follows the same path. See Turning a One-Time Window Cleaning Quote Into a Recurring Plan.

Quoted Once, Done Right

The point of estimate software is not the estimate. It is that the approved estimate becomes the schedule, the job card and the invoice without anyone copying it. For more on how quoting fits into WindowBossPro, see the window cleaning estimate software page.

Approved Means Scheduled

WindowBossPro turns approved estimates into scheduled one-time or recurring cleanings, with every window detail on the tech's phone.
