Online Estimate Approval: Letting Window Cleaning Customers Say Yes Without a Phone Call
The slowest part of quoting a window cleaning job is often not building the estimate. It is waiting for the answer. A phone message that goes unreturned. A paper quote stuck to a fridge. A text that says “sounds good” but never says which option. Online approval takes the waiting out of the yes.
The Yes Is the Bottleneck
In Building Your Service List So Every Window Cleaning Estimate Adds Itself Up we made building the estimate fast. Now it needs to reach the customer in a form they can act on. In WindowBossPro, the customer opens the estimate and approves it online. You see the approval in the office. No signatures, no scanning, no “can you call me back to confirm.”
Why Online Approval Beats the Alternatives
Phone approvals depend on both people being free at the same time. They also leave no record of exactly what was approved. Three weeks later, “I said yes to the windows, not the screens” is your word against theirs.
Paper quotes are slow and easy to lose. They also need someone to type them into the schedule when the customer finally says yes.
Text approvals are quick but vague. “Ok let's do it” does not tell you whether they meant the outside-only option or the inside & outside option you mentioned two messages ago.
An online approval is tied to a specific estimate with specific lines. When the customer approves, they approve those lines, and that is what lands on the schedule.
Making Estimates Easy to Approve
Customers approve estimates they understand. A few habits help:
- Plain line names. “Outside window cleaning, 28 windows” not a code.
- Extras on their own lines. Screens, tracks and hard water listed separately.
- A note on what is not included. “Inside windows not included.”
- Recurring prices per visit. If it is a quarterly plan, say what each visit costs.
- Sent while the conversation is fresh. The same day as the call or visit is best.

Sending the Estimate
Send the estimate right after you build it, and tell the customer it is coming. A quick text from the office through two-way texting works well: “Hi, this is the window cleaning company. Your estimate for outside windows and screens is on its way. You can approve it online, and we'll get you on the schedule.” Customers who know to look for it are more likely to open it.
If the customer has questions, they can reply to that text, and the reply comes back to the office. You answer, adjust the estimate if needed, and they approve the updated version.
What Happens When They Approve
The approval is where online estimates pay off. In WindowBossPro, the approved estimate becomes scheduled services. You do not retype anything. A one-time job is ready to put on a day. A recurring plan is set up with its minimum days between visits and comes due on the Waiting List on its own.
Enter the window details you gathered during the quote on the job once: the number of windows, stories, sides, extras and access notes. From then on, when the tech opens the job on any visit, it reads like “28 windows · 2-story · Inside & Outside · Screens,” with the gate code underneath. The full hand-off is covered in From Approved Estimate to Scheduled Window Cleaning: What Happens After the Yes.
When They Do Not Approve
Some estimates sit unanswered. That is normal. People get busy, compare prices or forget. A simple follow-up rhythm fixes most of it: a friendly text a few days later, and another a week after that. Keep an eye on which estimates are still open so nothing slips through. If the customer says no, ask why. Price, timing and scope are all useful answers.
Changes After Approval
Sometimes a customer approves and then calls to add inside windows or drop the screens. That is fine. Update the job and its window details so the crew sees the change, and adjust the services so the invoice matches. If the change is large, send a revised estimate for approval so there is a clear record of the new scope. Small changes, like adding two windows the crew found on the first visit, can be handled with a note and a quick text to the customer.
Approval Without the Chase
Online approval turns the slowest part of quoting into a tap on the customer's phone and leaves a clear record of what they agreed to. Send clear estimates quickly, tell the customer to look for them, and let the approval flow straight onto the schedule.
