What Happens to Billing When the Window Cleaning Tech Taps Complete
For the tech, Complete is the last tap at a stop before driving to the next one. For the business, it is the moment a finished cleaning turns into money. Understanding exactly what happens at that tap helps owners set up billing right, helps the office know where to look, and helps techs understand why a few seconds of care before tapping matters.
Where the Tap Fits
Keeping the quote and the bill in agreement was covered in From Approved Estimate to Invoice: Keeping Window Cleaning Prices Consistent. The last step of that path is the tech tapping Complete. Here is what happens next, piece by piece.
Before the Tap: The Tech's Job
A tech's day in the WindowBossPro tech app is the jobs in route order, each card showing the address, a navigation button, the window details and access notes. A card might read “28 windows · 2-story · Inside & Outside · Screens” with “Gate code in notes, dog in back yard.”
The tech taps Start when they begin, and the customer gets an automatic arrived text if they asked for one. They take before-and-after photos and add notes as they work.
Before tapping Complete, the tech does one quick check: did the job match the card? If the customer added screens, or the tech could only do the front because the back gate was locked, a note goes on the job first. That one habit prevents most billing problems.
At the Tap: The Invoice
When the tech taps Complete, WindowBossPro creates the invoice from the job. It uses the line items from your service list, so the window cleaning, story add-ons, screens, tracks and hard-water removal show as separate lines, and adds sales tax.
There is no office step between the work and the invoice. The invoice exists the moment the work is done.
At the Tap: The Charge
If the customer has a card on file and the job is set to charge at completion, the card is charged at the same time. A residential customer on a quarterly plan is cleaned, invoiced and paid before the tech has loaded the ladders.
Other customers follow their own setting. Some are charged on a schedule. Business accounts set to Monthly do not get a separate invoice at all; the visit is added to their monthly statement with the address on the line. For the trade-offs, see Auto-Charge at Completion: Getting Paid the Moment the Window Cleaning Job Is Done.
What the Customer Sees
The customer receives the invoice and can see it in the customer app along with any payment. If their card was charged, the invoice is effectively a receipt with clear line items. If they pay online instead, they can pay from the app right away.
Because the customer probably got a night-before alert and an arrived text, the invoice lines up with what they saw happen. No surprise, no question.
What the Office Sees
On the office side, the job moves to complete with the tech's photos and notes attached. The invoice is there, and the payment is recorded if the card went through. For a smooth day, the office does not need to touch any of it.
What the office watches for are the exceptions:
- A declined card. The invoice stays open; the office texts the customer to update the card in the customer app.
- A tech note that changes the job. Extra work added on site, or work not done.
- A Skip. If the tech tapped Skip instead, there is no invoice, and the note says why.
Crew GPS on the office map and the progress through the day's list show how the route is going overall.
What Happens to the Plan
For recurring customers, Complete also resets the clock. The plan's minimum days between visits counts from this cleaning, and the next one comes due on the Waiting List on its own when the time comes. Billing for the next visit will happen the same way, at the next Complete.
Training Techs on the Billing Side
Techs do not need to know much about billing, but they should know three things:
- Complete creates the invoice and may charge the customer's card.
- If the job changed, add a note before Complete.
- Before-and-after photos are the record if anyone questions the bill.
Explain that on day one, and most billing problems never start.
One Tap, Paid
Complete is where window cleaning work becomes revenue: the invoice created, the card charged, the customer informed and the office updated, all at once. To see how WindowBossPro ties the tech app to billing, visit the window cleaning billing software page.
Complete Means Invoiced
In WindowBossPro, the tech taps Complete and the invoice is created with line items and tax, and the card on file can be charged.
