From Approved Estimate to Invoice: Keeping Window Cleaning Prices Consistent

“That's not what you quoted me.” Few sentences cost a window cleaning company more. It does not matter whether the quote was really different or the customer misremembers. Once they believe the invoice does not match the estimate, trust is damaged and the payment slows down. The cure is a billing process where the quote and the invoice come from the same place, so they cannot drift apart.

Where Mismatches Come From

One-time jobs, covered in Billing One-Time Window Cleaning Jobs: Spring Cleans and Move-Outs, are where this problem shows up most, because there is no history to fall back on. But it happens with recurring customers too.

The usual causes:

One Service List for Everything

The fix starts with one list of services and prices. In WindowBossPro, your service list holds your prices: per window, per screen, per track, story add-ons and hard-water removal. Estimates are built from it. Invoices use it. When the price is in one place, it is the same price everywhere.

The names match too. If the estimate says “Screens, removed, washed and reinstalled,” the invoice says the same thing, because both came from the same service.

The Estimate Becomes the Job

Here is the path in WindowBossPro:

  1. The office builds an estimate from the service list, with the window count, stories, sides and extras.
  2. The customer reviews and approves the estimate online.
  3. The approved estimate becomes scheduled services, with those same lines and prices on the job.
  4. Recurring services come due on the Waiting List; one-time jobs get scheduled.
  5. The tech sees the window details on their phone, like “28 windows · 2-story · Inside & Outside · Screens,” and does that work.
  6. The tech taps Complete, and the invoice is created from the job.

Nobody retypes anything between step one and step six. That is what keeps the numbers honest.

When the Job Changes on Site

Jobs change. The customer meets the tech and asks for the garage windows too. The screens turn out to be missing. The second story has a skylight nobody mentioned. The rule should be: changes get noted on the job before Complete is tapped.

The tech adds a note in the app, the office adjusts the job, and the customer is told. If the change is big, the office texts the customer to confirm before it is billed: “Tom added the garage windows today, that adds 6 windows to your bill. OK?” A customer who said yes to the change never says “that's not what you quoted.”

When Prices Change

Raising prices is normal and healthy. Doing it without telling customers is how you create mismatches. When you update your service list, think about who it affects:

Sales Tax and the Estimate

Tax is the one line that is always on the invoice and sometimes missing from the estimate. If your work is taxable, put “plus sales tax” on the estimate so the total on the invoice is not a surprise. Invoices in WindowBossPro include sales tax automatically once it is set up.

The Payoff

When quotes and invoices always agree, customers stop checking. They approve estimates faster, leave cards on file without worrying, and pay without calling. Disputes drop. The office spends less time explaining bills and more time booking work. And your crew gets credit for the work they quoted and did, because every line was agreed before the ladder went up.

Quote It Once, Bill It Right

One service list, estimates approved online, approved estimates becoming the job, and changes noted before Complete. That keeps every invoice matching what the customer agreed to. To see how WindowBossPro connects estimates to billing, visit the window cleaning billing software page.

The Quote Becomes the Invoice

In WindowBossPro, approved estimates become scheduled services and invoices use the same line items and prices.
