Overdue Window Cleaning Jobs: Catching Up Without Wrecking Next Week

Every window cleaning company falls behind sometimes. A wet spring, a sick tech, a van in the shop for a week. Suddenly the schedule is full of customers who should have been cleaned already. The temptation is to cram them all into next week, which only pushes the problem forward and wears out the crew. There is a better way to catch up.

Overdue Is Visible

The last article, The Window Cleaner's Day in Route Order on the Tech's Phone, covered how the tech runs a day. When too many days go wrong, the result shows up on the office screen as overdue work.

In WindowBossPro, the Waiting List map colors every pin by status: not due yet, due now, and overdue once a job is more than seven days past due. Overdue pins are the backlog. You do not have to dig through a spreadsheet to find them; they are on the map, with the window details under each address on the list.

Size the Backlog First

Before you start moving things, figure out how big the hole is. Add up the overdue jobs by window count, stories and sides, and compare that to what a van can do in a day. If it is two van-days of work, you can absorb it over a week or two. If it is two weeks of work, you need a plan, and maybe extra hours or a second van for a while.

Knowing the number also tells you what to say to customers. “We'll have you done by the end of next week” is only honest if you know it is true. How Many Homes a Day? Scheduling Window Cleaning by Window Count and Stories covers turning windows into days.

Prioritize

Not every overdue job is equally urgent. A sensible order:

Group the Catch-Up Days

Overdue jobs scattered across the map make expensive routes. Look for clusters of overdue and due-now pins and build catch-up days around them, adding not-due-yet jobs nearby only if they fit. A day spent clearing one neighborhood's backlog is much more productive than a day chasing single overdue stops across town.

Auto-route each catch-up day Closest First or Furthest First from the shop, set any time-sensitive stops by hand, and let the tech's phone carry it out. Grouping Neighborhoods: Building Tighter Window Cleaning Routes has more on building those days.

Talk to the Customers

Overdue customers are more forgiving when they hear from you first. A short text through two-way texting goes a long way: “We're running behind after the rain. You're on the schedule for next Tuesday.” Customers who chose the night-before alert will also get a reminder when their day comes, and on-the-way and arrived texts on the day.

Silence is what loses customers. A homeowner who waits three weeks without a word starts calling other companies.

Don't Wreck Next Week

The danger in catching up is that next week's due jobs become the following week's overdue jobs. To avoid that, spread the catch-up over a couple of weeks rather than cramming it into one. Keep a share of each day for jobs that are due now, so they do not tip into overdue while you are clearing the backlog.

Because recurring plans count from the last completed cleaning, a late visit pushes that customer's next due date out too. The backlog does not echo forward forever; once a customer is cleaned, they reset.

Keep It From Coming Back

If overdue pins keep returning even in good weather, the schedule is telling you something. You may be selling more plans than one van can handle, and it may be time for a second crew. Checking the Waiting List every morning keeps small backlogs small.

Use the stories on each job when you plan catch-up days, too. A backlog heavy on 2-story and 3+ story homes needs the crew with the ladders and a run of calm days. A backlog of storefronts and 1-story homes can be cleared faster and by a newer tech.

Catch Up, Then Stay Caught Up

Size the backlog, prioritize, group the days, talk to customers and spread the work. For the rest of the scheduling tools, see the WindowBossPro window cleaning route software page.
