Quoting Hard-Water Stain Removal on a Window Cleaning Estimate
Hard-water stains are mineral spots left behind when sprinkler water or runoff dries on glass. Regular window cleaning does not remove them. Getting them off takes different products, different tools and a lot more time, and sometimes they do not come off completely. That makes hard-water removal one of the most important things to quote carefully.
A Different Job From a Regular Clean
In Pricing Screens and Tracks on a Window Cleaning Estimate we covered the common extras. Hard water is an extra too, but a much bigger one. A window with heavy spotting can take longer than the rest of the house combined. If you fold it into your regular per-window price, you will either lose money or lose the customer.
Spotting It on the Quote
The customer may not know what hard water is. They just know some windows “never look clean.” Ask questions that point to it:
- Do sprinklers hit any windows?
- Are there white spots or haze that do not come off with regular cleaning?
- Which windows are worst? Often lower windows near a lawn, sliders by a pool, or bathroom windows.
On a walkthrough, look at lower windows at an angle in the light. Photos rarely show hard water well, so if the customer mentions spots, try to see them in person before quoting.
Pricing Hard-Water Removal
There are a few ways window cleaners price it:
- Per window or per pane. A set price for each affected window, sometimes with light, medium and heavy levels.
- By time. An hourly rate with an estimated number of hours. Clear, but customers dislike open-ended bills.
- Flat for a set of windows. “Hard-water removal, back patio slider and two bathroom windows.”
Whatever you choose, quote it as its own line, separate from the regular clean. That keeps your base price honest and lets the customer decide whether the spots are worth it. Some customers will choose only the windows they see every day.
Setting Expectations
Hard-water removal is the one service where you should promise effort, not results. Heavy, old deposits can etch the glass. When that happens, the glass is damaged, and cleaning will not fully fix it. Say so on the estimate in plain words:
“Hard-water removal on 3 windows. Heavy deposits may have etched the glass. We will improve the appearance as much as possible, but some marks may remain.”
Test a small spot first if you can. A test patch on the quote visit tells you how hard the job is and shows the customer what to expect. Before-and-after photos from the tech app on the day of the job back up the result either way.
Stop It From Coming Back
Hard water comes back if the cause does not change. If sprinklers are hitting the glass, tell the customer. It is useful advice, and it protects your work. It is also a reason to put the house on a recurring plan. Windows cleaned every quarter are less likely to build heavy deposits than windows cleaned once every few years. That conversation is covered in Turning a One-Time Window Cleaning Quote Into a Recurring Plan.
Keeping It on the Job
In WindowBossPro, hard-water removal is one of the extras in the window details on the job, alongside screens and tracks. It shows under the address on the lists and on the tech's phone. That means the crew knows ahead of time to bring the right products and to budget extra time at that address. It also tells the office not to schedule a hard-water job as the last stop of a packed day.
Add an access note naming the windows: “Hard water on back slider and the two bathroom windows only.” Without that, a new tech may treat every window or none.
On your service list, set hard-water removal up as its own item with its own unit and price. If you price in levels, create one item per level. When the estimate is approved and becomes scheduled work, the hard-water line comes with it, and when the tech taps Complete it goes on the invoice.
Quote It Separately, Explain It Clearly
Hard-water removal is skilled, slow work that deserves its own price. Find it on the quote visit, price it on its own line, set honest expectations about etched glass, and keep it on the job card so the crew comes prepared. For more on quoting in WindowBossPro, see the window cleaning estimate software page.
