The Weekly Numbers Every Window Cleaning Business Owner Should Watch

Many window cleaning owners judge the business by two things: how busy the week felt and what the bank balance says. Both are misleading. A busy week can lose money, and a healthy bank balance can hide a pile of unpaid invoices and forgotten customers. A short list of numbers, checked at the same time every week, tells you what is really happening while there is still time to act.

Measure What You Communicate

Customer Communication in a Window Cleaning Business: Before, During and After the Visit ended by suggesting you check whether your procedures are working by looking at the numbers. This article lists those numbers. None of them need a spreadsheet or an accountant. They take fifteen minutes on a Monday morning.

1. Jobs Completed vs Scheduled

How many jobs were on the schedule last week, and how many were completed? The gap is skipped jobs, rain days and jobs that ran out of time. A small gap is normal. A growing gap means routes are too full, a van is struggling or weather planning needs work.

The Scheduled List shows jobs by day and van. Look at what was completed, what was skipped, and why. Skips come with the tech's note, so you can tell a closed storefront from a soft-ground ladder skip from a customer who was not ready.

2. Revenue Billed

What did the business invoice last week? Compare it with the same week last year and with what your day-rate math says each van should bill. If revenue is down while jobs completed is steady, look at pricing and at whether extras are reaching the invoice.

Reports in WindowBossPro show billing over a date range, and because Complete creates the invoice, the number reflects work actually done.

3. Due and Overdue Cleanings

This is the number most owners never look at, and it may be the most important. How many recurring cleanings are due now, and how many are overdue past the grace period?

The Waiting List answers it at a glance. Every cleaning that has come due shows on a live map and list, with pins colored not due yet, due now, or overdue past a 7-day grace. If the overdue count keeps rising, you have more recurring work than your vans can handle, and you are at risk of losing customers quietly. That problem gets its own article: Missed Recurring Visits: The Quiet Revenue Loss in a Window Cleaning Business.

4. Past-Due Invoices and Declined Cards

Money billed is not money collected. Each week, check how many invoices are past due and how many card charges declined. A small, steady list is manageable. A growing one is a cash problem in the making.

Invoices in WindowBossPro come with past-due follow-up, and customers can update their card and pay online in the customer app. The weekly check is making sure someone actually works the list.

5. New Leads and Conversions

How many quote requests and sign-ups came in last week, and how many became scheduled work? Website request and sign-up forms flow into Form Responses, so the count is in one place. Approved estimates become scheduled services.

If leads are coming in but few convert, look at response speed and pricing. If leads are slow, look at marketing, especially before your busy season.

6. Hours and Labor

Compare hours worked with revenue billed for each van or tech. The time clock in the tech app records hours as techs clock in and out. If hours rise faster than revenue, routes may be spread too thin, jobs may be underpriced, or a new tech may need more training.

A Simple Weekly Routine

Pick a fixed time, Monday morning works for most owners, and go through the list in the same order:

Write the main numbers in one running note each week. After a couple of months, you will see trends long before they show up in the bank account. This check fits into a broader routine described in The Window Cleaning Business Owner's Weekly Routine.

Numbers Point to Leaks

Most of these numbers exist to catch the same few problems: work done and not billed, recurring work missed, and money billed and not collected. Those leaks get a full treatment in the next article.

Fifteen Minutes That Run the Business

A short weekly look at the right numbers is how an owner manages a business instead of reacting to it. For the Waiting List, Scheduled List, invoices and reports behind each number, see the window cleaning business software page.
