Moving Window Cleaning Techs Off Paper Job Sheets and the Group Text

Plenty of successful window cleaning companies still run on paper. A printed job sheet for each van, a clipboard on the dash, a group text for changes and gate codes, and an evening of typing invoices from whatever the techs wrote down. It works. It also breaks in the same places every week. Moving to a tech app is less about technology and more about fixing those weak spots without disrupting a working business.

Where Paper and Group Texts Break

Splitting work between vans, covered in Two Vans, Two Routes: Splitting Residential and Storefront Work in the Window Cleaning App, is exactly where paper starts to strain. With one van, the owner holds it all in their head. With two, the gaps show:

Step One: Get the Records In

Before any tech opens the app, the office needs the client records in WindowBossPro. Clients can be imported by CSV, and every imported address is placed on the map automatically. One client can have many addresses, which suits property managers and multi-location businesses.

For each address, fill in the window count, stories, sides and extras. This is the biggest job in the switch, and the most valuable. Do the addresses on next week's schedule first, and fill in the rest as they come due.

Step Two: Move the Gate Codes and Notes

Go through the group text, the old sheets and, most importantly, the techs' heads. Every gate code, dog warning, ladder spot and skylight goes onto the address as an access note. Sit down with each tech for half an hour and walk through their route; you will be surprised how much they know that was never written down.

Once a code is on the address, it shows on the job card behind each tech's PIN. Then you can stop sending codes by text. When a tech leaves, turning off their PIN turns off their access, instead of leaving every code in their phone forever. How to write those notes well is in Writing Job Notes the Next Window Cleaning Tech Can Actually Use.

Step Three: Set Up Recurring Plans

Paper schedules depend on someone remembering when each customer is due. In WindowBossPro, each recurring customer gets a plan with a minimum number of days between visits: 14 or 30 for storefronts, 90 for quarterly houses, 180 for twice a year. Once set, they come due on the Waiting List on their own, colored not due, due now or overdue past a 7-day grace. One-time jobs like spring cleans and move-outs go on as one-time jobs.

Step Four: One Week in Parallel

Do not flip the whole crew over on a Monday with no safety net. For the first week, print the sheet as usual and also run the day in the app. Techs work from the app and tap Start, Skip and Complete; the paper is there if something is missing. Each evening, compare. Anything on the paper that was not in the app gets fixed in the records.

Most companies find that by Wednesday nobody is looking at the paper. By the end of the week, stop printing it.

Step Five: Turn On the Customer Side

Once the techs are comfortable, switch on the automatic texts: night-before reminders, on-the-way and arrived alerts, chosen by each customer. Start capturing cards on file through your sign-up form and the customer app, so Complete can charge them. Each piece removes a weekly chore: fewer reminder calls, fewer no-access skips, no billing night.

What Changes for the Techs

For the crew, the day gets simpler. The list is in route order and stays current. Every card shows the windows, the sides, the extras and the way in. The navigation button replaces typing addresses. Skips take one tap and a sentence instead of a phone call. Customer replies go to the office, not to the tech's personal phone. And the time clock replaces the Friday timesheet.

Training takes one ride-along, and the app runs on the phones they already carry.

Off Paper for Good

The switch takes a week or two of effort, mostly getting window details and access notes into the records. After that, the sheet, the clipboard and the group text are gone, and the office can see the whole day as it happens. For everything the tech app does, start at the WindowBossPro window cleaning app page.

Retire the Clipboard

WindowBossPro replaces printed job sheets and group texts with a live job list, window details and access notes on every tech's phone.
