No More Missed Windows: Using the Window Count and Sides as the Tech's Checklist

Nobody misses a window on purpose. It happens because a house has an odd little window behind a bush, or a skylight that is invisible from the driveway, or because the tech got interrupted by a homeowner halfway around the back and lost their place. The cure is not trying harder. It is a two-minute routine at the end of every job, using the information already on the job card.

Why a Checklist Beats Memory

The cost of a missed window, a callback, was covered in Cutting Callbacks: How the Tech App Stops 'You Missed a Window' Calls. This guide is about stopping the miss before the van leaves.

Experienced techs develop a feel for a house. That works most of the time, and it fails in predictable ways: on a house you have not seen in six months, on a house someone else usually cleans, on a hot afternoon at the end of a long day. A checklist does not get tired. And in WindowBossPro, the checklist is already written. It is the job card.

The Card Holds the Answers

Every job card shows, under the address, the window count, the stories, the sides and the extras: “28 windows · 2-story · Inside & Outside · Screens.” Below that are the access notes, which on a good card include the easy-to-miss spots: “Two skylights on the south roof.” “Small window behind the holly bush on the east side.” “Garage side door has a window, customer wants it included.”

Each of those items is a check. Window count is a number to hit. Sides are a yes or no for inside. Extras are a yes or no for each. Access notes point at the windows most likely to be forgotten.

The End-of-Job Routine

Before tapping Complete, at the van with dry hands, run through it:

  1. Count. Does the number of windows you cleaned match the count on the card? Many techs count as they go, out loud or in their heads, by side of the house.
  2. Sides. If the card says Inside & Outside, were both done? If Outside Only, did you avoid doing (and implying) inside work?
  3. Extras. Screens back in place? Tracks wiped? Hard-water areas treated and photographed?
  4. Notes. Re-read the access notes for any windows they call out. Skylights, hidden windows, the garage door window.
  5. Photos. After photos taken?
  6. Then Complete.

On a familiar house this takes under a minute. On an unfamiliar one, it is the minute that saves an hour later.

When the Count Does Not Match

Sometimes the count is off for a good reason. The quote counted a bay window as one and you counted it as three. The customer had a window added in a remodel. A basement window was never on the quote.

When the count does not match, do not just shrug. Walk the house once more to make sure nothing was missed. If the count on the card is wrong, write a note on the job: “Card says 28, house has 30. Two basement windows not on the quote, did not clean them.” or “Counted the bay as 3, card counts it as 1, all done.”

The office reads that and decides what to do: correct the count on the address, talk to the customer about adding the basement windows, or leave it as is. Either way, the next tech sees a card that matches the house. Writing notes like that well is covered in Writing Job Notes the Next Window Cleaning Tech Can Actually Use.

Working Around the House in Order

A simple way to avoid misses is to work every house in the same pattern. Start at the front door and go clockwise, always. Do the ground floor all the way around, then the upper floor all the way around. Skylights last. Inside, room by room in a fixed order.

A fixed pattern makes interruptions harmless. When a homeowner stops you to ask a question, you know exactly where you were. Pair the pattern with the count and you will rarely miss one.

Help the Next Tech Too

Every time a tech finds an easy-to-miss window that is not mentioned in the notes, that is a chance to fix the card. A short note on the job, “Add to notes: small window above the kitchen sink outside, behind the trellis,” gets copied onto the address by the office. From then on, everyone who cleans that house sees it.

Two Minutes, Every Job

Count, sides, extras, notes, photos, Complete. A routine that short, built on information already on the card, stops most missed windows before they become phone calls. For more on what the tech does on the phone, see the WindowBossPro window cleaning app page.
