What Window Cleaning Software Actually Does, From First Quote to Paid Invoice
“Window cleaning software” can sound like a vague promise. In practice it is a list of specific chores that stop landing on the owner's kitchen table at night. This article goes through that list in the order a job actually happens, so you can see which chores the software takes over and which ones stay with you.
Start With the Big Picture
If you have not read it yet, Window Cleaning Software: The Complete Guide for Window Cleaning Companies covers the whole system in one sitting. Here we slow down and look at each handoff. The idea behind every one of them is the same: you enter information once, and every later step reuses it instead of asking someone to retype it.
It Catches the Request
A homeowner fills out the request form on your website. A shop owner signs up for monthly storefront service on your sign-up form and leaves a card. In WindowBossPro, both land in Form Responses instead of an email inbox you might not check until Friday. A sign-up converts into a client with one click, so the name, phone, email and address you already collected become the client record without copying.
That alone fixes one of the most common leaks in a small window company: leads that came in on a busy week and were never answered.
It Builds the Quote and Turns It Into Work
The estimate is built from your own service list. Maybe you charge $6 a window outside and $4 more for the inside, a set amount per screen, an add-on for second-story glass and a line for hard-water removal on the back slider. Those are your prices, set once and pulled into every estimate.
The customer approves the estimate online. When they do, the approved estimate becomes scheduled services on their address. Nobody has to remember to “put them on the schedule” — the approval does it.
It Remembers the Glass and the Schedule
Each job keeps the window details: the number of windows, the stories, the sides (outside only, inside & outside, inside only), extras like screens, tracks and hard-water removal, and access notes such as a gate code, a dog or where to set the ladder. Those show under the address on every list and on the tech's phone. Window Details on Every Job: Counts, Stories, Sides and Extras goes deeper on why that matters.
The software also remembers when the glass is due again. Recurring cleanings are set by minimum days between visits — 14, 30, 90 or 180 — and when the time is up they appear on the Waiting List, a live map and list of everything that has come due. Pins are colored not due yet, due now, or overdue past a seven-day grace. You no longer flip through a spreadsheet to find out who is due for a fall cleaning.
It Plans the Route and Runs the Day
From the Waiting List you assign due cleanings to a van and a day. On the dispatch board you filter by van, auto-route Closest First or Furthest First from the shop, and set the order. Then the day moves to the tech's phone.
The tech app shows the day's jobs in route order, each with a navigation button, the window details and the access notes. The tech taps Start, takes before-and-after photos, adds notes and taps Complete or Skip. The customer gets automatic on-the-way and arrived texts. The tech clocks in and out on the same phone, and crew GPS shows on the office map.
Meanwhile the customer can open the customer app and see their place on today's route on a live map: “You're stop 12 of 20, the crew is 5 stops away.”
It Gets You Paid
When the tech taps Complete, the invoice is created with its line items and sales tax, and the card on file can be charged right then. You can also charge on a schedule instead. Customers who pay by hand can pay online from the customer app. Past-due invoices get follow-up so you are not the one making awkward calls.
Property managers and businesses set to Monthly get one statement each month covering every location, with each line labeled by its address, instead of a stack of separate invoices.
What It Does Not Do
Software does not clean glass, and it does not decide your prices or which customers to keep. It also cannot fix information that was never entered. If nobody records that the back of the house is three stories, the quote will be low and the tech will show up with the wrong ladder. The software is only as good as the job details you put in at the start, which is why the setup steps — services, customers, window details, recurring plans — are worth doing carefully once.
It also does not replace talking to customers. Two-way texting puts those conversations in one place where the office can see them, but somebody still answers.
Put It Together
Request, quote, approval, schedule, route, tech app, invoice, payment, and back to the Waiting List for the next visit. That loop is what window cleaning software actually does. For how each piece looks in WindowBossPro, see the window cleaning software page.
