Switching Window Cleaning Software Without Losing a Customer

The fear that keeps most window cleaners on a system they have outgrown is simple: what if something gets lost in the move? A quarterly customer who never comes due. A card on file that does not carry over. A storefront that misses two visits because nobody noticed. Those fears are reasonable, and a little planning makes all of them avoidable.

Why Switching Feels Risky

Routes and the Dispatch Board: How Window Cleaning Software Plans the Day showed how due work becomes a van's day. When you switch systems, the thing at risk is exactly that: the list of who is due and when. Everything else — texts, invoices, photos — can be rebuilt. A missed recurring customer is the real cost. So the plan below is built around protecting the recurring list.

Whether you are coming from paper, a spreadsheet or generic field-service software, the steps are the same.

Pick the Right Time

The best time to switch is your slowest stretch. For many window cleaners that is the middle of winter, after the holiday rush and before spring cleans start. You have time to set things up carefully, and fewer jobs are on the line if something needs fixing.

Avoid switching right before your busiest season. Learning new software while the phone rings with spring clean requests is how mistakes happen.

Move the Customer List First

Start by exporting your customers from wherever they live now into a CSV: names, phone numbers, emails and service addresses. Import that file into WindowBossPro and every address is placed on the map. A quick look at the map will tell you if anything landed in the wrong place.

Then check for duplicates. Old systems and spreadsheets often have the same customer entered twice. Clean those up now, before recurring plans are attached. Importing Your Customer List Into Window Cleaning Software walks through the import in detail.

Rebuild the Recurring List Carefully

This is the step that protects your income. For every recurring customer, add the recurring plan with the right minimum days between visits — 14, 30, 90 or 180 — and check against your old records that each one will come due when the customer expects it.

Go through the list in order of when customers are due, not alphabetically. The customers due in the next month matter most; get them right first. Customers due in five months can be finished over the next few weeks.

As you go, add window details and access notes for each address: window count, stories, sides, extras, gate codes and ladder spots. If you do not have all of it, the techs can fill gaps on the first visit.

Run Both Briefly, Then Commit

For a week or two, it can help to keep the old system open for reference while you run real routes in the new one. Plan each day from the Waiting List and the dispatch board, send techs out with the tech app, and compare against your old list to catch anyone who did not come over.

Do not run both for long. Two systems means two places to update, and within a few weeks they drift apart. Once the recurring list checks out, commit to the new system and stop updating the old one.

Bring Cards and Customers Along

Cards on file usually cannot be copied from one system to another. Plan for customers to add their card again. The simplest way is to ask at each customer's first cleaning in the new system: the invoice arrives, and the customer adds their card in the customer app while they pay.

Tell customers what is changing in a short, friendly message: they will start getting a reminder the night before, they can see where the crew is on cleaning day, and they can pay and update their card in the app. Most customers see it as an improvement. Two-way texting means any questions come back to the office.

Train the Crew in One Morning

Techs need less training than you might expect. Set up each employee with a personal PIN and a van, then walk them through the tech app on a real route: navigation, window details, access notes, Start, photos and Complete. Most techs have it by the end of the first day.

Switch Once, Do It Right

Pick a slow stretch, move the customer list, rebuild the recurring plans in order of who is due, run both briefly, and bring cards over at each customer's next visit. Done that way, nobody gets missed. Learn more on the window cleaning software page.
