Collecting From Commercial Window Cleaning Accounts That Pay Late
Commercial clients are usually reliable payers, but they are slow ones. Invoices sit in shared inboxes, go through approval chains and wait for the next check run. A storefront owner forgets. A property manager is waiting on an owner. Left alone, a few late accounts can tie up a surprising amount of money every month.
Why Commercial Payments Run Late
Skipped visits, covered in When the Store Is Closed: Handling Skipped Commercial Window Cleaning Visits, are one kind of loose end. Late payments are another. Most are not about money at all. They are about process:
- The invoice went to someone who left the company.
- Nine separate invoices were too many to approve, so none were.
- Accounts payable needs a purchase order number that was not on the bill.
- The manager could not tell which building a charge was for.
- Nobody reminded them.
Fix the process and most late payments fix themselves.
Make the Bill Easy to Approve
The single best thing you can do for multi-location accounts is send one statement a month instead of many invoices. Set the account to Monthly and every visit at every location lands on one statement, each line labeled with the address. A manager can approve one clear document much faster than a stack.
Add anything their accounting needs. If they require a purchase order or vendor number, store it in a custom field and make sure it appears where they need it. Invoices and statements carry line items and sales tax, so there are no surprises when they check the math. Send It to the Right Person
A surprising number of late commercial payments are just bills sent to the wrong person. When you set up the account, ask: who approves vendor bills, and where should statements go? That might be the property manager, an accounts payable email or a regional office.
Keep both contacts on the client record. The site contact handles access and scheduling. The billing contact gets statements and reminders. When either one changes, update the record the same day.
Automatic Past-Due Follow-Up
WindowBossPro sends past-due follow-up automatically when an invoice or statement goes unpaid past its due date. You do not have to remember who owes what or write reminder emails by hand.
The reminder links back to the customer app, where the client can see the invoice or statement and pay online. Making it easy to pay right from the reminder removes one more excuse.
Card on File for Single Storefronts
For single storefronts with the owner on site, the easiest way to avoid late payments is not to send bills at all. Put a card on file and charge it when the tech taps Complete, or on a schedule. The owner gets an invoice for their records, and you are paid the same day.
Many storefront owners prefer this. They do not want to write checks for small amounts every two weeks. Offer it at sign-up, and most will say yes. Owners can update their card themselves in the customer app when it expires.
When Reminders Are Not Enough
If an account stays past due after the automatic follow-up, it is time for a person. Text the billing contact through two-way texting, with the statement in front of you: “Harbor Property Group: the September statement for your four buildings is past due. Can you check where it is in your approval process?”
Be polite and specific. Most of the time, the answer is that it got stuck, and your text unsticks it.
If an account stays unpaid for two or three cycles, decide on a policy and stick to it. Many companies pause service until the account is current, after telling the client clearly in advance. Pausing is uncomfortable, but cleaning for months without pay is worse.
Prevent It at the Start
- Put payment terms on every commercial quote, approved online with the rest of the quote.
- Ask for the billing contact and any PO requirements before the first visit.
- Offer card on file to every single-location client.
- Use Monthly billing for every multi-location client.
- Review past-due accounts once a month, alongside your other account reports.
Clear Bills Get Paid
Most late commercial payments are process problems, not money problems. Send one clear statement to the right person, let reminders go out on their own, and use card on file where you can. For the rest of the commercial toolkit, visit the WindowBossPro commercial window cleaning software page.
